Documentation

Instruction-ready detail below

An offer approved in a side conversation and sent as an attachment leaves no record of who agreed to what, and no way to explain an exception to a candidate who asks. This workflow holds one offer in one place: the role, the band, the base, any equity, and the start date, with approval routed to the manager, finance, and HR in a fixed order. Approvals happen in a single thread, so the decision and the reason for any deviation from the band are captured together. A signed offer carries an expiry date, and anyone still unsigned is listed with what they still owe before that date passes. Once approved, the offer letter, confidentiality agreement, and compensation summary go out as one signature packet instead of three separate requests, and the return date is recorded. A human still negotiates, approves any exception, signs off on the final numbers, and makes the offer.

Problem this workflow solves

Offers get approved in side conversations and emailed as attachments, so nobody can tell later who agreed to what. Off-band compensation slips through, two people end up with different terms for the same job, and finance finds out at payroll cut-off.
