A supplier is onboarded in a hurry, the record is never finished, and the missing pieces surface months later when somebody needs them. This workflow treats the supplier record as a maintained set: contract and end dates, tax and banking details, insurance and quality certificates, sites, contacts and the approval chain for spend. Every change is logged with who approved it, and the record is checked against what the buying, finance and quality systems already hold, so one supplier is not carried three different ways in three places. A contract approaching its end date raises a renewal task with the spend history, the scorecard and the current terms attached, which is the evidence a negotiation actually needs. Certificates inside their expiry window are chased at the supplier rather than at the internal owner. Where spend is spread across suppliers doing identical work, the combined volume is shown so a consolidation decision rests on numbers. What a human still decides is which suppliers are approved at all, which terms are worth holding out for, and whether a lapsed certificate is a delay or a disqualification.
