Every file on a laptop is a file you have not backed up yet, and the week rarely says so. A contract sits in one folder, a shared drive stops syncing after a password change, and the loss only shows up when somebody needs the document. The workflow starts from a written list: the folders that hold work, contracts, records, and anything a client would ask for twice. Each folder is copied to a second location, and the copy is named the same way as the original so a restore is one step instead of a search. Weekly, the list is compared against what actually arrived, and folders that received nothing in seven days are named with the person who owns each one. Anything that failed is retried, and a folder that fails twice in a row is escalated instead of retried forever. Once a quarter, one folder is restored to a scratch location to prove the copy opens, because a backup that will not open is the same as none. A person still decides what is worth keeping a copy of, how many versions of a file matter, and which location the team treats as the record.
